Inspection Report Software - Field Inspection App for Australian Teams
Inspection reports allow field teams to document findings in a structured, professional format. Capture issues, suggest improvements, create action plans, and add comments — all with photo and video evidence.
Inspection Report Types
Section titled “Inspection Report Types”Each inspection report contains four types of items:
Document problems, defects, or non-compliance found during inspection.
Examples:
- Cracked window on the north facade
- HVAC filter overdue for replacement
- Fire extinguisher missing from floor 3
- Safety railing not up to code
Capture:
- Description of the issue
- Severity level
- Location details
- Photo or video evidence
Improvement
Section titled “Improvement”Suggest enhancements or upgrades that would benefit the customer.
Examples:
- Recommend LED lighting upgrade for energy savings
- Suggest adding security cameras to parking area
- Propose landscaping improvements for curb appeal
Action Plan
Section titled “Action Plan”Define corrective actions required to address issues found.
Examples:
- Schedule window replacement contractor
- Order and install new HVAC filters
- Arrange fire extinguisher inspection
- Repair safety railing by end of month
Each action plan item can include:
- Description of the action required
- Priority level
- Responsible party
- Due date
Comment
Section titled “Comment”Add general observations or notes that don’t fit other categories.
Examples:
- “Customer mentioned they’d like a quote for monthly servicing”
- “Access required advance notice — security code needed”
- “Site was unusually busy during inspection”
Creating an Inspection Report
Section titled “Creating an Inspection Report”- Open a job and tap the Inspection Reports section
- Tap “Submit Inspection Report”
- Add items (Issues, Improvements, Action Plans, Comments)
- For each item:
- Write a clear description
- Attach photos or videos as evidence
- Set severity/priority as needed
- Finalise and submit the report
Acknowledging an Inspection
Section titled “Acknowledging an Inspection”After a report is submitted, designated team members can acknowledge it:
- Open the inspection report
- Review each item
- Tap “Acknowledge” to confirm review
- Add any follow-up notes
Acknowledgment creates an audit trail showing who reviewed the report and when.
Managing Inspection Segments
Section titled “Managing Inspection Segments”Inspection items can be viewed and managed by category:
- All items: Complete view of the entire report
- Issues only: Focus on problems found
- Improvements: Review suggestions
- Action Plans: Track required actions
- Comments: General observations
This makes it easy for managers to focus on the most critical items first.
Media Attachments
Section titled “Media Attachments”Every inspection item supports rich media:
- Photos: Capture visual evidence of each issue
- Videos: Record walk-throughs or detailed inspections
- Multiple attachments: Add as many files as needed per item
All media is timestamped and linked to the specific inspection item.
Best Practices
Section titled “Best Practices”- Be specific in descriptions — include locations, measurements, and relevant details
- Add photos to every issue for clear evidence
- Set priorities on action plans so the team knows what to address first
- Review all items before submitting a report
- Acknowledge promptly to maintain audit trail compliance
