Job Templates - Reusable Field Service Workflows

Job templates let you define standard workflows once and reuse them across multiple jobs. They ensure consistency, save time, and help your team follow the same process every time.

  • Quality: Pre-defined checklists ensure nothing is missed
  • Training: New team members have clear guidance

Access all templates from the Job Templates section:

  1. Go to Job Templates from the dashboard
  2. Tap “Create Template”
  3. Configure the template:
FieldDescription
NameA clear, descriptive name (e.g., “Standard Office Clean”)
DescriptionBrief overview of what this template covers
Default DurationEstimated time to complete (e.g., 2 hours)
PriorityDefault priority level for jobs using this template

Add task templates that will be pre-populated on every job:

  1. Tap “Add Task”
  2. Enter the task name (e.g., “Vacuum all carpets”)
  3. Optionally add a description with detailed instructions
  4. Save the task

You can add as many tasks as needed. Organise them in the order they should be completed.

  1. From the template dashboard, tap the template you want to edit
  2. Update any settings
  3. Add, remove, or reorder tasks
  4. Save your changes

Templates can be updated at any time. Existing jobs using the template will retain the original task list — only new jobs will reflect the changes.

  1. From the dashboard, tap ”+”
  2. Select “Create Job with Template”
  3. Browse or search for the template
  4. Tap to select it
  5. Fill in job-specific details (customer, date, location, etc.)
  6. Tap “Create”

All tasks from the template are automatically added to the job.

Use clear, searchable names:

  • “Office Clean - Standard” instead of “Clean”
  • “HVAC Inspection - Commercial” instead of “Inspection”
  • “Garden Maintenance - Full Service” instead of “Garden”

Find the right level of detail:

  • Too few tasks: Team may miss important steps
  • Too many tasks: Overwhelming and hard to follow
  • Aim for 5-15 tasks per template

Review templates periodically:

  • Update based on customer feedback
  • Add new requirements as they emerge
  • Remove outdated steps
  • Refine task descriptions for clarity
