Reusable Notes - Consistent Field Service Documentation
Reusable notes help your team document work consistently. Create notes for common observations, policies, terms and conditions, or sign-off wording — then use them with one tap, or attach them to a job report.
Why Use Reusable Notes?
Section titled “Why Use Reusable Notes?”- Consistency: Every team member documents the same way
- Speed: Apply common notes with one tap
- Completeness: Notes ensure nothing is forgotten
- Quality: Pre-written notes are more professional
- Reports: Attach standing content, such as terms or a sign-off, when you generate a report
Creating a Reusable Note
Section titled “Creating a Reusable Note”- Open More, then tap Reusable Notes
- Tap Reusable Note
- Enter:
- Name: How you find it later (for example, “Safety hazard”). The name is not copied onto the job note.

Using a Reusable Note on a Job Note
Section titled “Using a Reusable Note on a Job Note”When creating or updating a job note:
- Tap Apply Reusable Note
- Select a reusable note
- The title and note are filled in
- Edit or customise as needed
- Save the note
Leaving without saving does not record a note.
Attaching Reusable Notes to a Report
Section titled “Attaching Reusable Notes to a Report”When you generate a job report:
- Open the job’s reports and tap Generate Job Report
- Tap Attach Reusable Note and choose a note
- Add more if you need them, and use the up and down controls to set the order
- Generate the report
Attached notes appear at the end of the PDF, after the job’s own notes. They are a copy of the title and body at the time you generate, so later edits to the reusable note do not change a report you already generated. Leave the list empty to generate the report without them.
Managing Reusable Notes
Section titled “Managing Reusable Notes”- View all notes on the Reusable Notes screen
- Edit a note to update its title or body
- Delete notes that are no longer needed
- Notes are shared across the organisation
Best Practices
Section titled “Best Practices”- Create notes for common scenarios: Safety notes, quality observations, customer communications, terms, and sign-off wording
- Keep notes concise: Clear, focused notes are more useful
- Update regularly: Revise notes based on real-world feedback
- Use the name to tell them apart: The name is for your library; the title is what appears on the note or report
